Financial Assistant:
Employment Type: Part-time
We are seeking an experienced accounts payable and receivable clerk. Must be detail-oriented, self-starter, and able to provide references. Weekly hours will range from 15-25.
Qualifications:
- Experience with Quickbooks
- Proficiency with Microsoft Office, specifically Excel
- Minimum 3 years of accounting experience required
Duties and Responsibilities Include:
- Maintain and process accounts payable
- Set-up, coding, and entry
- Processing purchase orders
- Tracking requisitions and bill payments
- Update attendance reports
- Update IMAX film reporting and contracts
- Prepare monthly film royalties
- Responsible for generating checks (at least weekly) for vendors
- Assist in banking if necessary
- Reconciling discrepancies between requisitions and invoices
- Filling and other office responsibilities
- Responsible for special projects as necessary
- Reports to the Chief Staff Accountant
Special Events & Membership Coordinator:
Employment Type: Full-time
Under the supervision of the Director of Education & Guest Engagement, the Special Events & Membership Coordinator is responsible for soliciting private rentals of the Center, planning and coordinating membership promotions and Center events to meet the annual revenue goal. As a key member of the Center’s team, the Special Events & Membership Coordinator works closely with internal staff, clients, and external vendors to assure proper use of the facility and ensure members are engaged and see value in their membership.
Qualifications:
- Results-oriented and productive in a fast-paced environment
- Clear understanding of the role of income-generating activities to support the Center
- Minimum 4 years of work in a customer-related field
- Bachelor’s degree is preferred
- Exceptional interpersonal and organizational skills
- Strong analytical skills
- Excellent oral and written communication skills
- Knowledge of Microsoft Office applications
- Work schedule flexibility, including nights and weekends as required
Duties and Responsibilities Include:
- Serve as a positive, enthusiastic representative of the Center and market the facility for private rentals and memberships to drive revenue
- Market, coordinate, and manage all rental events to include meetings, receptions, dinners, weddings, lectures, birthday parties, and member and Center events
- Professionally serve all phone, email, and walk-in rental inquiries
- Manage Center event calendar, weekly room requests, internal monthly calendar
- Develop and deliver Center tours that show the facility’s capabilities
- Maintain Exclusive Caterers Listing, with emphasis on partnerships
- Prepare invoices for catering commissions
- Create rental information packets for clients
- Develop strategic advertising plan for rentals and work with marketing to implement
- Submit approval for events
- Prepare rental contracts, handle deposits, and process refunds
- Conduct pre-event meetings with staff, clients, and caterers
- Coordinate rental details with staff, ensuring that rentals are adequately staffed and supervised from set up to clean up of event, delegating responsibility as appropriate
- Market, coordinate, and manage membership promotions and programs working in tandem with visitor services to ensure processing and delivery of all membership sales
